What is the first thing you look for when grading students’ memos?

  • The opening paragraph. If the opening paragraph doesn’t clearly explain the purpose of the memo, readers don’t know why they are reading it, and it’s likely the rest of the memo will wander in its thinking.

Do you look for a particular format? ?

  • A simple format is best. Microsoft Word has lots of formats. Pick the basic one. You don’t want the format to distract from what you have to say.

How important is grammar? Why?

  • Grammar and sentence construction are very important. You don’t want the reader to be distracted by things that don’t make sense in your writing. If your grammar is sloppy, the reader may think your research and logic are sloppy as well and be less inclined to adopt your suggestions.

What other general tips for writing a memo would you would suggest?

  • Be sure you choose appropriate words and string them together in short sentences. Use active rather than passive sentence structures. Keep your paragraphs well formed – shorter is better than longer.
